Dental Clinic and Patient Coordinator for new Dental Health Charity 

Newly established health charity, Filling the Gap, seeks experienced Dental Clinic and Patient Coordinator with dental experience (Dental Assistant, Practice Manager) to work in a dynamic team and manage dental aid clinics, volunteer dentists and charity partners.

About the organisation
Filling the Gap is a new charity formed by the Australian Dental Association NSW Branch (ADA NSW) to run dental aid programs and provide members with volunteering opportunities. Filling the Gap’s mission is to improve the health and quality of life of vulnerable people with poor oral health through the provision of pro bono dental treatment, education and advocacy. Our dental aid programs prioritise those most in need who are unable to access mainstream dental services, including asylum seekers and refugees, Indigenous Australians, and vulnerable people with complex and chronic health conditions. We work with more than 20 partner charities, including the Australian Red Cross, the Salvation Army and the Women’s Justice Centre. Patients are treated by volunteer dentists in their practices and we also run dental aid clinics in partnership with ADA NSW.  

About the role
Reporting to the General Manager of Filling the Gap, and working in a dynamic team, the Dental Clinic and Patient Coordinator is responsible for organising dental aid programs and dental clinics, which involves liaising with charity partners and supporters, recruiting and managing volunteer dentists, maintaining databases and reporting. This is also a great opportunity to develop new dental aid programs in areas of greatest need. This role includes hands on involvement with the organising and running of dental clinics which includes some dental assisting. This is a contract role with a view to ongoing employment depending on funding contracts. 

About you
You are energetic and self-motivated with dental experience either working in a dental practice as a dental assistant, dental receptionist or practice manager. You have excellent communication and administration skills. You also demonstrate compassion and are confident liaising with dentists, practice managers and charity case workers. You are flexible and adaptable and demonstrate excellent clinical assisting skills. You have the ability to multitask and prioritise competing workloads while consistently demonstrating initiative and working efficiently with minimum supervision.
Key responsibilities

  • Co-ordinating dental aid clinics, liasing with charity case workers and dentists in the lead up to the clinics. Running the clinics on the day – which may involve dental assisting from time to time.

  • Coordination of dental aid programs operating in private practices by volunteer dentists. This involves arranging appointments for patients via charity case workers and also liaising with dental practices.

  • Recruiting dental practices, dental volunteers, other professionals and charities/not-for-profit organisations to participate in Filling the Gap dental programs.

  • Record keeping and reporting on program activity – using dental software to add patients, schedule appointments, record treatment item numbers and produce regular reports on program outcomes.

  • Developing new programs as capacity grows.

  • Maintaining practice management and databases.

  • Other administration tasks as required.

Required Skills and Experience

  • 3 years+ dental experience in a clinical role

  • Corporate, sales or administrative experience

  • Program or project management experience

  • High level administration and coordination skills

  • Excellent written and verbal communication skills

  • Highly organised with attention to detail

  • High level relationship building skills

  • Professional manner and presentation

  • Empathy and care for all patients from diverse cultural backgrounds

  • Proficient in all Microsoft Office programs (Word, Excel, Power Point)

  • Experience with Practice-Management software programs highly regarded.
